Many sales CRMs face a common problem:

It's not that:

they lack features.

But rather that:

salespeople just don’t want to update them.

Not because:

they’re deliberately neglectful.

But because:

a client meeting:

really takes more time than just the:

30 minutes in the session itself.

Before the meeting, you have to:

find out:

where the last conversation left off,

what the client has sent,

which stage the deal is in,

and what was promised previously.

After the meeting, you still have to:

organize notes,

write follow-ups,

update deal stages,

adjust amounts,

fill in the expected close date,

and add next steps.

The CRM administrative work:

actually starts after the meeting ends.

Pipedrive wants to:

eliminate this whole phase.

Pipedrive officially launched Nova on September 16

Nova is not:

another standalone meeting recorder,

nor just another chatbot that summarizes meetings afterward.

It is built directly:

into the Pipedrive CRM.

Its design covers the three phases of a sales meeting:

Before, during, and after.

Phase 1: Pre-call CRM review done for you

Suppose:

you have a second meeting:

with a client this afternoon.

The traditional approach requires opening:

the deal record,

scrolling through activities,

checking emails,

reviewing the last meeting notes,

and confirming details like:

company, contacts, previous quotes,

pipeline stage, etc.

If your CRM has a lot of data,

just gathering context might take over ten minutes.

Nova generates a pre-call brief automatically

It uses existing data in Pipedrive including:

deal context, organization, contact history, recent activities,

and supplements this with synchronized:

emails and calendar events,

to compile the most important background before your meeting.

This means:

you don’t have to read through every single email thread again manually.

What makes this valuable isn’t just “AI summarizing”

but that:

the summary is built on CRM context.

Most AI tools require:

copying and pasting client data,

emails, and notes manually.

Nova lives inside Pipedrive,

accessing the sales context it already has permission to see,

and prepares your brief seamlessly.

What you really need to know before the call may just be a few key points:

What the client was most concerned about last time,

current quoted price,

what promises were made,

current deal stage,

how long since last contact,

and what next steps need confirmation today.

These are the critical pieces for sales reps to get up to speed before a meeting.

Phase 2: Don’t keep your head down typing during meetings

Many salespeople find it awkward when the client:

is discussing important needs,

but they’re busy staring at a screen,

typing notes.

Not taking notes risks forgetting details later,

but constant note-taking makes active listening hard.

Nova offers two methods for capturing meetings.

Method One: AI Notetaker

This shows up explicitly as a visible participant in:

Google Meet, Zoom, or Microsoft Teams,

transcribing the meeting live.

Everyone can see that the Notetaker is present;

it’s not recording secretly.

Method Two: Nova Companion desktop app

This method doesn’t require a bot joining the call.

The Companion app captures system audio directly on your Mac or Windows PC,

allowing it to record not only Google Meet, Zoom, and Teams,

but also other VoIP calls or even in-person meetings,

as long as your computer’s microphone can hear the discussion.

The key difference between these methods isn’t AI intelligence,

but how the meeting audio is obtained.

The AI Notetaker participates in the meeting as a visible attendee.

The Companion app records audio from your own device directly.

Different companies have different policies on meeting bots,

so offering options gives users flexibility.

However, “no visible bot” does not mean you can record without consent

This is crucial.

Recording and transcription laws vary by country and region.

Pipedrive clearly reminds that the meeting organizer must comply with local:

recording and consent regulations.

You cannot assume that because there’s no bot in the meeting UI,

it’s okay to record secretly.

Nova also offers participant notices

You can notify meeting participants in advance that transcription will occur,

and provide opt-out or consent requests.

Ultimately, the responsibility to verify permissions lies with the user.

If your company plans to adopt this technology, it’s best to:

establish a clear meeting recording policy upfront.

Phase 3: The most interesting part happens after the meeting

Many AI meeting tools provide transcription, summaries, and action items,

but these aren’t new capabilities.

What makes Nova stand out is:

its direct integration back into your CRM.

When the meeting ends, it doesn’t just list discussion points.

Based on the conversation, it suggests:

updates to CRM records.

For example:

Should the deal stage move forward?

Has the deal value changed?

Is there a new expected close date?

Who should do what follow-up?

What should be the next contact step?

These are the tasks that salespeople dread updating manually after meetings.

But Nova doesn’t directly write updates into the main CRM data

This is important.

Pipedrive states very clearly:

Nova’s meeting debrief and CRM update suggestions require you to:

review, edit, and approve

before any changes happen.

It never overrides CRM data automatically.

In other words, AI:

proposes updates,

but humans confirm the official record.

Why can’t AI change deal stages freely?

Because:

Expressions like “We are interested”

don’t necessarily mean the proposal is accepted.

Or “About 500,000”

isn’t the final confirmed deal value.

Likewise, a client saying “Hope to close by month-end”

may not mean the expected close date is definitively set to that.

AI tends to turn discussions into neat data fields,

but CRM fields:

aren’t meeting summaries.

CRM data directly influence:

forecasting, sales pipeline visibility, management decisions, revenue reporting, and even bonuses.

Therefore, having human review is very sensible.

This is one of the biggest differences between Nova and typical meeting summary tools

Most meeting AI tools end with a transcript or summary;

Nova extends that endpoint to CRM hygiene.

In other words, after the meeting, the CRM is truly kept up to date.

The biggest ongoing problem with CRM is always “Garbage In”

No matter how powerful the system,

if salespeople forget to update,

pipeline visibility suffers.

For example:

A deal the client already abandoned still remains marked as “Proposal.”

Or the sales rep says “Oh, I forgot to update,”

while the CRM still shows an outdated stage or amount.

All this distorts forecasts.

Nova’s goal is to make CRM updates a review task, not data entry

Previously:

salespeople had to recall details and manually type entries.

Now:

Nova prepares suggestions based on meeting content.

Salespeople then just need to judge correctness,

allowing a practical shift in workflow.

Pipedrive even advises against autopilot AI

At Nova’s launch, Pipedrive’s product head shared an insightful view.

Many AI sales tools aim to:

automate sales tasks fully, removing the salesperson from the loop.

Pipedrive believes what’s really needed is:

to give salespeople more context,

reduce admin work, and focus their attention on clients.

This aligns deeply with the nature of sales work

It’s often not about how fast CRM data is entered,

but about why clients hesitate,

who the real decision maker is,

where budget is held up,

what competitors are doing,

and which remarks signal client uncertainty.

AI can help organize this information,

but relationship building, negotiation, and judgment remain crucial human skills.

Pipedrive research shows sales teams spend large amounts of time on “work about work”

The 2026 CRM Trends Report surveyed 1,000 sales and marketing professionals.

42% said they spend at least 40% of their work time on tasks that don’t directly generate revenue.

True selling gets eaten up by data entry, admin, and follow-ups.

Another survey found meeting prep and follow-up are very time-consuming

71% spend at least 10 minutes preparing for every customer call,

and 47% said follow-up or CRM updates often take over 24 hours to complete.

This is exactly the pain point Nova targets along the meeting lifecycle.

Though meetings may last only 30 minutes,

with 10 minutes prep before and 20 minutes of follow-up after,

one 30-minute meeting effectively costs an hour.

For five meetings a day, admin overhead rockets.

Pilot users report significant time savings

Property Tech company Snug in Australia tested Nova before launch.

Their 6-person sales team saved roughly 30 minutes to an hour per deal meeting

on note-taking, transcription, preparation, and follow-up.

But this does not mean every company can save an hour per meeting

This is a specific customer claim, not a universal guarantee.

If your company doesn’t already spend much time on CRM admin for meetings,

you won’t free up an entire hour.

The real test is to measure how much time you spend on pre-meeting prep and post-meeting updates yourself,

then try using Nova for 10 meetings,

comparing time spent on reviewing, editing, and approving AI suggestions.

You can also assess how reliable AI suggestions are

For example, over 10 meetings, Nova might propose deal stage updates 8 times,

with you accepting 7 and rejecting 1 due to an obvious error.

This will help you understand which fields save you the most work.

If expected close dates nearly always need manual corrections,

that field may not be ready for full AI reliance yet.

It’s better to consider which fields’ AI-suggested values are most trustworthy.

More conservative handling is advisable for key fields like:

deal value,

discounts,

formal commitments,

expected close dates,

and client-approved next steps.

These have immediate impact on forecasts, revenue, and management decisions.

Even with convenient AI, manual confirmation remains best practice.

One major advantage of Nova is that it requires no extra meeting AI purchase

Pipedrive says Nova’s core meeting intelligence features come included in all Pipedrive plans at no additional cost,

including AI Notetaker, pre-call briefs, meeting summaries, transcripts, and CRM update suggestions.

If your company’s already using Pipedrive,

Nova offers a low barrier to entry for adding AI-powered meeting workflow enhancements.

And Nova is available globally

Pipedrive announced:

Nova reached general availability worldwide as of September 16, 2026,

not limited to waiting lists or selected beta customers.

Admins can still revoke user access rights for Nova features.

The Companion app requires a separate installation

Nova itself appears within Pipedrive,

but if you want to capture audio without a bot, install the Nova Companion app.

It currently supports macOS (Apple Silicon, macOS 13 or later) and Windows 10 64-bit or later.

It can also transcribe other VoIP calls, though speaker attribution accuracy may vary

Google Meet, Zoom, and Teams can accurately identify speakers,

while other VoIP tools may only tag hosts and participants generally,

without full names for individual speakers,

which users should be aware of.

Pipedrive is transparent about data privacy

Depending on the features enabled, Nova may process:

Pipedrive CRM data, synced emails, calendar events, call recordings, meeting transcripts,

and other data synchronized by the user.

It is not a tool isolated from business data.

Pipedrive prohibits third parties from using client data to train AI models

They explicitly state they do not use client data for AI training without permission,

and third-party AI providers are contractually restricted from doing so as well.

This is an important policy, but it doesn’t eliminate the need for companies’ own data governance.

The real question remains: what was actually said in the meeting?

Sales meetings may include sensitive topics like prices, contracts, client info, internal strategies, or unreleased products.

Even with platform data protection, companies must decide which meetings can be recorded,

which clients require consent, and when to disable transcription.

Tools can’t answer all these questions on their own.

How does Nova differ from Plaud Agent?

This is worth clarifying.

SasaDaily introduced Plaud Agent on September 12.

Plaud extends conversations into various artifacts like PDFs, PPTXs, DOCXs, and can send outputs to Slack or Notion.

Nova’s focus is narrower:

sales meetings directly feeding CRM updates.

Its goal is not to create a polished client deck,

but to prepare deal context before meetings,

capture transcripts during,

and propose CRM updates afterward.

How Nova differs from Claudeforce

Claudeforce integrates Salesforce data, pipelines, and business rules into Claude AI,

enabling AI to query CRM, prepare meetings, analyze pipelines, and support sales skills.

Nova, by contrast, lives inside Pipedrive itself,

focusing specifically on the meeting lifecycle.

Both combine AI and CRM, but approach from different angles.

Who benefits most from Nova?

First, small to medium sales teams already using Pipedrive get a straightforward upgrade without switching CRMs.

Second, salespeople with many daily meetings, such as those in SaaS sales, agencies, consulting, real estate, B2B services, recruitment, or business development.

They face high admin overhead before and after meetings.

Third, teams struggling to keep CRM data timely and accurate.

Managers who find pipelines full of outdated deals can especially benefit from Nova

since it proactively suggests updates instead of relying on reps to remember later.

Which companies should temper expectations?

If your company doesn’t seriously use CRM:

no deal records, contacts, emails, or activities are consistently logged,

then pre-call briefs have very limited context to work with,

and AI can’t conjure complete customer histories from missing data.

Garbage In, Garbage Out

Nova can reduce problems caused by forgotten post-meeting entries,

but it cannot retroactively fill in three years of absent sales records.

Highly sensitive meetings may not be suitable for full transcription

Examples include legal negotiations, highly confidential M&A, HR, security incidents, or special medical meetings.

Whether to record these should follow company policies, contracts, and legal regulations,

not just because AI can record them.

The major takeaway:

This is not just another AI feature for Pipedrive.

It signals a shift in how CRM is used.

Previously, CRM:

was mainly a database users updated after completing work.

Now AI:

stands alongside the work itself,

helping prepare before meetings,

capture during meetings,

and prep database updates afterward.

CRM is evolving from a record-keeping tool into a work companion tool

This change is significant.

If AI can follow the real customer conversation in real time,

then CRM data no longer lags real-world activity by hours, days, or weeks,

and sales data can approach near real-time accuracy.

Yet the final review should remain human-led

Meetings often involve fuzzy language like:

“We’re interested.”

“We’ll see.”

“The budget’s roughly okay.”

“We hope for next month.”

“I’ll check with my boss.”

Humans understand these are not formal commitments,

but AI may try to turn them into tidy database fields.

Therefore, the best role for Nova is not to manage your pipeline for you,

but to prepare the evidence needed to update your pipeline.

Salespeople then review, correct, and approve,

letting AI remove administrative burden without taking over judgment.

If you’re trying Nova for the first time, focus on one thing:

Pick the next 10 regular sales meetings and measure:

how long prep took before using Nova,

how long post-meeting note-taking took,

how much CRM update time was required,

then compare after using Nova how much time spent reviewing suggestions.

If time goes down and your CRM data gets more complete,

you’ve found a truly valuable AI tool.

Sales teams don’t need another talking AI – they need to avoid spending half an hour on data entry after every meeting.

Today, grow with AI a bit.

Learn a new AI skill every day.

Save a bit of time daily.

Improve a little every day.
